If that hospital account of yours is not under threat of bankruptcy,
then probably they just have cashflow problems, like slow medicare
reimbursements. I've certainly learned my lessons from one of my
hospital accounts that went belly up.
I'm now very careful in monitoring my receivables from my remaining
accounts. I start calling if I don't receive a check after 30 days. The
"squeaky wheel gets the oil" is a truism in our business.
I've also cultivated a close relationship with the accounts payable
department of the hospitals (I give their staff Christmas presents and
birthday cards). I've managed to include my small company to their
"tier-1 vendor" list. I've learned that some CFOs are categorizing
vendors with respect to who they want to pay first.
I assume that you have a good relationship with the Medical Records
Director. But she/he merely signs off your invoice and passes it to the
accounting dept. She can help by calling them, but that is the extent of
her influence. You really need to deal with accounts payable directly,
or talk to the CFO face to face.
